Project reason: increasing productivity and efficiency

A reason to build software: do more work in less time or effort by automating manual tasks, cutting errors and rework, and speeding up processing.

Understanding Project reason: increasing productivity and efficiency in VCE Software Development U3O2

What it does: Checking data as it is entered stops errors early, so less rework is needed and productivity rises. Replacing many manual steps with one automated step saves time and effort, which is the purpose of an efficiency project. Automation means the software does the repetitive work so people do not have to. Doing each invoice by hand is the manual task being replaced. Fixing mistakes wastes time. If software validates data on entry, staff spend less time redoing work and can do more useful tasks. Validation catches mistakes at the point of entry, so no one has to find and correct them later. That is reducing errors and rework.

Common mistakes: The loop must go through every item in the order so the software can add up the prices automatically. It should be FOR each item IN order, because total is only a number and cannot be looped over. The program needs to receive the hours and rate before it can calculate pay automatically. The first line should be INPUT hours, rate, not OUTPUT.

Quick Questions

1. Which project reason does this describe? A school replaces paper timesheets with an app that calculates pay automatically.
A. Increasing productivity and efficiency ✓
B. Addressing a gap in the market
Automating a manual task so staff get more done in less time is a productivity and efficiency reason. Nothing here is about competitors or a missing product.
2. Which is the best example of automating a manual task?
A. Staff typing each invoice by hand and posting it
B. Software that emails invoices to customers automatically each month ✓
Automation means the software does the repetitive work so people do not have to. Doing each invoice by hand is the manual task being replaced.
3. True or false: Software that reduces errors and rework can increase productivity.
A. True ✓
B. False
Fixing mistakes wastes time. If software validates data on entry, staff spend less time redoing work and can do more useful tasks.
4. Which sub-theme does this fit? A form rejects an invalid date of birth before it is saved.
A. Reducing errors and rework ✓
B. Faster processing
Validation catches mistakes at the point of entry, so no one has to find and correct them later. That is reducing errors and rework.
5. Which statement best describes the main goal of a productivity and efficiency project?
A. Make the software look different from competitors
B. Get more work done in less time or with less effort ✓
Productivity and efficiency projects focus on how well work gets done. Standing out from competitors is a different reason, related to gaps in the market.

Match the Pairs

Automating a manual task → Software does a repetitive job, such as typing in timesheets, so staff spend their time on other work
Faster processing → Software completes work such as orders or reports in seconds, so more work gets done in less time
Software cuts errors and rework, so staff no longer fix mistakes made by hand → Validation rule rejects an invalid email at data entry
Software streamlines a task by replacing several manual steps with one automated step → Click 'Generate report' instead of copying data from 5 spreadsheets by hand
Project reason: 'Build the app so we can add a new competitor product to the market' → This is a gap in the market reason, not productivity. It does not aim to save time or effort through automation.
Project reason: 'Automating invoices will make staff retype every invoice more slowly' → Retyping invoices by hand is the manual process that automation removes. Slower work with more effort is the opposite of efficiency.

Key Term

productivity and efficiency
A reason to build software: do more work in less time or effort by automating manual tasks, cutting errors and rework, and speeding up processing.

Fill in the Blanks

1. FOR i ← 1 TO 500 CALL processInvoice(i) END FOR
Hint: Type the keyword that sets the loop's upper limit, so 500 invoices are processed automatically.
2. IF mark < 0 OR mark > 100 THEN DISPLAY "Invalid mark" END IF
Hint: Type the logical operator that flags a mark as invalid if either condition is true, which reduces errors.
3. manualMinutes ← 30 autoMinutes ← 2 timeSaved ← manualMinutes - autoMinutes
Hint: Type the arithmetic operator that finds how much faster the automated process is.
4. REPEAT INPUT email UNTIL email CONTAINS "@"
Hint: Type the keyword that closes a REPEAT loop and keeps asking until the input is valid, avoiding rework.
5. FOR EACH staff IN timesheets pay ← staff.hours * staff.rate END FOR
Hint: Type the operator that automates the payroll calculation by combining hours with the pay rate.

Spot the Error

Question 1
A total ← 0
B FOR each item IN total
C total ← total + item.price
D END FOR
E OUTPUT total
Line B — The loop must go through every item in the order so the software can add up the prices automatically. It should be FOR each item IN order, because total is only a number and cannot be looped over.
Question 2
A OUTPUT hours, rate
B pay ← hours * rate
C OUTPUT pay
Line A — The program needs to receive the hours and rate before it can calculate pay automatically. The first line should be INPUT hours, rate, not OUTPUT.
Question 3
A INPUT age
B WHILE age < 0 OR age > 120
C OUTPUT age
D END WHILE
E OUTPUT age
Line C — Validation reduces errors and rework only if the user is asked again. The loop body must be INPUT age. Otherwise age never changes and the loop never ends.
Question 4
A count ← 0
B WHILE orders remain
C count ← count - 1
D process next order
E END WHILE
Line C — The counter should go up by one for each order processed, so it should be count ← count + 1. Subtracting makes the total of processed orders wrong.
Question 5
A total ← 0
B FOR each mark IN marks
C total ← total + mark
D avg ← total * COUNT(marks)
E OUTPUT avg
Line D — An average is the total divided by the number of marks. It should be avg ← total / COUNT(marks). Multiplying gives a wrong result that causes rework.
