Time frame of an evaluation strategy

States when each evaluation activity will happen and how long it has, such as during or after the project, with dates linked to milestones.

Understanding Time frame of an evaluation strategy in VCE Data Analytics U4O1

What it does: The code gives the activity, how long it has (3 days) and when it happens (5 June to 7 June), which is what a time frame states. Evaluation after the project, such as collecting user feedback once the solution is handed over, is given a date in the time frame. Checking work as it is built is a during-the-project evaluation. It lets problems be fixed early. Dates are set in advance in the evaluation strategy so each activity can be planned and tracked against the project plan. The date must match the milestone. Testing should happen on or after the milestone it checks, so the date should be 10 May or later.

Common mistakes: Formulas can only be tested once they exist, so this activity belongs during the project. A time frame must say when each activity happens, and it should be 'During the project', not before work starts. The end date comes before the start date, so the time frame is impossible. The dates should run from 10 Jun to 14 Jun.

Quick Questions

1. Which statement best describes the time frame of an evaluation strategy?
A. It states when each evaluation activity will happen and how long it has ✓
B. It lists the colours and fonts used in the final dashboard
The time frame answers 'when' and 'how long' for each evaluation activity, not how the solution looks.
2. Which is a well-written time frame entry?
A. Test formulas against hand-calculated answers: 12-14 March, after the build milestone ✓
B. Test formulas at some point when there is time
A good time frame gives dates and a link to a milestone. 'At some point' is vague and cannot be tracked.
3. A student checks that data entry rules work while the spreadsheet is still being built. When does this evaluation happen?
A. After the project
B. During the project ✓
Checking work as it is built is a during-the-project evaluation. It lets problems be fixed early.
4. A student surveys users about the finished dashboard one week after hand-over. When does this evaluation happen?
A. After the project ✓
B. During the project
Judging the finished solution once it has been delivered is an after-the-project evaluation.
5. Why link an evaluation activity to a milestone?
A. It lets the activity be skipped if the project runs late
B. The activity is then scheduled for a point when the work it checks is ready ✓
Linking to milestones means each evaluation happens when its work is complete, for example testing after the 'charts built' milestone.

Match the Pairs

Time frame: Test formulas by 12 May → Sets a date for one evaluation activity, so the team knows when the check must be finished
Time frame: During the project, after each milestone → Says the evaluation happens while the project runs, and is linked to each milestone
A time frame states when each evaluation activity will happen and how long it has → Check chart accuracy | 3 days | 5 June to 7 June
Some evaluation happens after the project to judge how well the finished solution worked → Collect user feedback | After handover | 20 June
Evaluate the dashboard | Sometime later → The time frame has no date or length, so nobody knows when the activity must happen or how long it takes
Test security controls | 30 April | Milestone: Data cleaned (due 10 May) → The activity date is before the milestone it is linked to, so it would be tested before the work is finished

Key Term

time frame
States when each evaluation activity will happen and how long it has, such as during or after the project, with dates linked to milestones.

Fill in the Blanks

1. activity: Test formulas timeframe: during project milestone: Prototype built
Hint: Type the word that shows this check happens while the project is still being built.
2. activity: Survey users timeframe: after project milestone: Solution handed over
Hint: Type the word that shows this activity happens once the project has finished.
3. start: 3 Mar end: 7 Mar activity: Check charts
Hint: Type the field name that gives the date the activity finishes.
4. activity: Review dashboard linked to: milestone 3 date: 14 Apr
Hint: Type the project marker that this activity's date is tied to.
5. activity: Survey users timeframe: 20 Mar to 24 Mar
Hint: Type the field name that says when an evaluation activity happens and how long it has.

Spot the Error

Question 1
A Activity: Test formulas
B When: Before any work starts
C Start: 3 Mar
D End: 7 Mar
Line B — Formulas can only be tested once they exist, so this activity belongs during the project. A time frame must say when each activity happens, and it should be 'During the project', not before work starts.
Question 2
A Survey: 14 Jun to 10 Jun
B Phase: After the project
C Milestone: Solution delivered
Line A — The end date comes before the start date, so the time frame is impossible. The dates should run from 10 Jun to 14 Jun.
Question 3
A Activity: Check requirements
B When: During the project
C Start: 5 Apr
D End: 2 Apr
E Milestone: Draft complete
Line D — The activity cannot end on 2 Apr when it starts on 5 Apr. The end date must come after the start date, for example 9 Apr.
Question 4
A Activity: Final user review
B When: During the first week
C Start: 1 Nov
D Link: Handover milestone
Line B — A final review of the finished solution happens after the project, not in its first week. The line should say 'When: After the project'.
Question 5
A Activity: Build the dashboard
B When: During the project
C Due: 12 May
D Milestone: Testing complete
Line A — An evaluation time frame lists evaluation activities. Building the dashboard is development work, not evaluation. The line should name an evaluation activity such as testing the formulas.
