Fixing spelling variations with Find and Replace

A spreadsheet tool (Ctrl+H) that finds every cell with one spelling and changes them all to the correct spelling in one step, like turning Sydeny into Sydney.

Understanding Fixing spelling variations with Find and Replace in ACARA Digital Technologies Years 7–8

What it does: The Find box holds the wrong spelling and the Replace with box holds the correct one, so every Sydeny becomes Sydney. This option stops Find and Replace from changing parts of longer cells, so only cells that are exactly the searched text are replaced. Replace All fixes every matching cell at once. Replace changes only one match, then moves to the next. Always check your cleaned data. Spelling variations can be missed, or a match can change a cell you did not mean to change.

Common mistakes: Find what must hold the wrong spelling (Sydeny), because that is what Find and Replace searches for. It should be 'Find what: Sydeny'. Searching for the correct spelling would fix nothing. Ctrl+F only opens Find, which has no Replace box. Ctrl+H opens Find and Replace, so line 1 should be 'Press Ctrl+H'.

Quick Questions

1. You typed Sydeny in 30 cells instead of Sydney. Which is the fastest way to fix every one?
A. Use Find and Replace to change Sydeny to Sydney in one step ✓
B. Click each cell and retype Sydney 30 times
Find and Replace changes every cell with the wrong spelling in one step, so you don't have to fix cells one at a time.
2. Which shortcut opens Find and Replace in most spreadsheets?
A. Ctrl+Z
B. Ctrl+H ✓
Ctrl+H opens Find and Replace. Ctrl+Z is Undo, which only takes back your last action.
3. In the Find and Replace box, where do you type the misspelled word Sydeny?
A. In the Find box ✓
B. In the Replace with box
Find is the spelling you want to search for (the wrong one). Replace with is the correct spelling you want instead.
4. In the Find and Replace box, where do you type the correct spelling Sydney?
A. In the Find box
B. In the Replace with box ✓
Replace with holds the new, correct spelling. The Find box holds the wrong spelling you are searching for.
5. A column has the cities Perth and Perth West. You want to change only cells that say exactly Perth to Perth City. Which setting helps?
A. Tick Match entire cell contents ✓
B. Leave it unticked so it matches part of any cell
Match entire cell contents only changes cells that are exactly Perth. Without it, Perth West would become Perth City West by mistake.

Match the Pairs

Ctrl+H → Opens the Find and Replace box in a spreadsheet so you can fix a spelling in many cells at once
Replace All → Changes every cell that matches the spelling you searched for in one step, not just one cell
To fix every misspelling of Sydney in one step, find the wrong spelling and replace it with the correct spelling → Find: Sydeny Replace with: Sydney
Tick Match entire cell contents so that only cells containing exactly the text you searched for are changed → [x] Match entire cell contents
Find: Sydney Replace with: Sydeny → The boxes are swapped. This would change the correct spelling into the wrong one. Find should hold Sydeny and Replace with should hold Sydney.
Find: Mel Replace with: Melbourne (Match entire cell contents is off) → With Match entire cell contents off, a cell already reading Melbourne would be changed to Melbournebourne. Tick the option so only cells that are exactly Mel are replaced.

Question 1
A Press Ctrl+H
B Find what: Sydney
C Replace with: Sydney
D Click Replace All
Line B — Find what must hold the wrong spelling (Sydeny), because that is what Find and Replace searches for. It should be 'Find what: Sydeny'. Searching for the correct spelling would fix nothing.
Question 2
A Press Ctrl+F
B Find what: Melborne
C Replace with: Melbourne
D Click Replace All
Line A — Ctrl+F only opens Find, which has no Replace box. Ctrl+H opens Find and Replace, so line 1 should be 'Press Ctrl+H'.
Question 3
A Press Ctrl+H
B Find what: Brisbain
C Replace with: Brisbain
D Click Replace All
Line C — Replace with must be the correct spelling. Replacing Brisbain with Brisbain changes nothing. It should be 'Replace with: Brisbane'.
Question 4
A Press Ctrl+H
B Find what: Adelaid
C Replace with: Adelaide
D Match entire cell: off
E Click Replace All
Line D — With match entire cell contents off, the tool also changes the correct 'Adelaide' cells into 'Adelaidee'. It should be 'Match entire cell: on' so only cells that are exactly 'Adelaid' change.
Question 5
A Press Ctrl+H
B Find what: Hobrat
C Replace with: Hobart
D Click Replace once
Line D — Replace changes only one cell at a time, so other Hobrat cells stay wrong. 'Click Replace All' fixes every cell in one step.
